How to Backup Outlook 2010 emails

Outlook 2010 is the standard tool which is used to communicate and collaborate with other people. Outlook 2010 serves as a multipurpose managemnet tool. Outlook 2010 has a number of new features, which make it even better personal information manager compared to earlier versions of Outlook.

Features of Outlook 2010 are as follows:

Ribbon: It is a user-friendly interface that is organised into groups on multiple tabs.

SharePoint Work Space: It is a new application introduced in Outlook 2010, which is also known as Groove. It enables users to work with SharePoint content offline then the contents can be synchronised back to SharePoint when the internet connection is available.

Many people store their essential business information in Outlook. Outlook 2010 store emails and all other Outlook data in single file called as PST (personal Storage Table) file. PST files are more prone to logical corruption. There are various scenarios in which emails may get deleted or lost due to human errors.

Some Scenarios of loss of Outlook data are:

Accidental deletion of emails: Emails may get deleted accidentally using Windows Explorer or Shift+Del keys. When they are deleted using Windows Explorer, they are moved to “Deleted Items Folder” from where you can restore the emails back and when emails are deleted using Shift+Del keys, then they are not moved to Recycle Bin” resulting in loss of emails.

Abruptly terminating Outlook:  Sometimes, you may abruptly terminate Outlook 2010. In such case, the PST file that is being accessed by Outlook may get corruptted. When this PST file gets corrupted, emails stored in PST file become inaccessible resulting in loss of emails.

Hence, backup is necessarry in order to avoid loss of important emails. Outlook 2010 does not have a special built-in backup capability to backup important data. Instead, you need to backup the PST file manually. You can backup PST file in two ways i.e. either you need to take straight forward file copy of the PST file from the file system or by using separate backup system like Windows Backup. Outlook 2010 supports PST file size limit of 50GB. Manually taking backup of lot of data may consume more time and while exporting PST file, some of the settings of Outlook may not be copied resulting in incomplete backup. Therefore, relevant backup tool is necessary to take quick and complete backup.

Remo Outlook Backup and Migrate software is used to backup and restore emails quickly. Along with emails, this software can also backup and restore all Outlook attributes like email folders, contacts, calendar items, tasks, notes, journal entries, rules, RSS feeds, settings, junk-email lists, email accounts and signatures. This software has a built-in scheduler, which helps to automatically backup Outlook data as per the scheduled time. This software supports Outlook 2000, Outlook 2002, Outlook 2003, Outlook 2007 and Outlook 2010.

Follow the below mentioned steps to start the backup task:

Step 1: Download and install Remo Outlook Backup and Migrate and then launch it either from the desktop or from the programs list. Select “Backup” option from the main screen as shown in Figure 1.

Step 2: If you want to create a new backup profile then select “Create New Backup Profile” radio button from the Manage Profile window or if you have already created a backup profile then you can use the same backup profile then click “Next” button. Select Outlook items whose backup need to be taken and then click “Next” button as shown in Figure 2.

Step 3: Select destination drive from the Backup Settings option to save your backup then click “Next” button. Now, a window appears to schedule backup. Backup can be scheduled on daily, weekly or monthly basis. Configure all the settings and then select “Next” button as shown in Figure 3.

Step 4: A confirmation message will be displayed after completing the Backup process. Once you click on “OK“button then the backup summary will be displayed as shown in Figure 4.
