Email is a procedure of exchanging digital messages from author to one or multiple recipients. One of the best email clients which can manage all your emails in an organized manner is MS Outlook, which comes with MS Office. There are many versions of Outlook but Outlook 2007 is the standard tool used to communicate and collaborate with other people and serves as a multipurpose management tool. It has number of new features, which makes it better personal information manager compared to the earlier versions of Outlook. Along with emails it also manages your contact information, appointments, events, tasks, meeting schedules and other information. It stores all the information along with emails in a single PST file (Personal Storage Table, which acts as a local storage for MS Outlook). If the PST file gets corrupted or deleted then your Outlook will not work and the entire data which is saved in Outlook profile may lost. You may think that why it gets corrupt or delete?

Scenarios where Outlook Backup Software can be used are as follows:

Due to abnormal termination of Outlook without saving any data: If your Outlook application terminates suddenly due to some power crash or due to logical corruption of Outlook such as software malfunction, changing default location of your PST file or while migrating from one system to other, PST file corruption may occur.

Keep backup of your PST files: The size of the PST file is limited. If the data stored in it exceeds the size of the PST file, then there are chances of PST file getting corrupted. So you can keep a copy of your Outlook data in order to avoid losing them. But keeping backup of your PST files does not store the settings and the other attributes. So to keep complete backup of your Outlook items you can use Outlook Backup software.

Scheduling Backup: Outlook 2007 does not have a special built-in backup capability to backup your important files. Instead, you need to backup the PST file manually, which is time consuming. Therefore, relevant backup tool is necessary to take quick and complete backup. Backup can be configured and scheduled on daily, weekly or monthly basis.

Remo Outlook Backup and Migrate software helps you to backup and restore all Outlook emails along with all the other attributes of Outlook. This software can backup Outlook 2010 emails, contacts and other data and along with it it also supports other versions of Outlook.

Outlook 2010 is the standard tool which is used to communicate and collaborate with other people. Outlook 2010 serves as a multipurpose managemnet tool. Outlook 2010 has a number of new features, which make it even better personal information manager compared to earlier versions of Outlook.

Features of Outlook 2010 are as follows:

Ribbon: It is a user-friendly interface that is organised into groups on multiple tabs.

SharePoint Work Space: It is a new application introduced in Outlook 2010, which is also known as Groove. It enables users to work with SharePoint content offline then the contents can be synchronised back to SharePoint when the internet connection is available.

Many people store their essential business information in Outlook. Outlook 2010 store emails and all other Outlook data in single file called as PST (personal Storage Table) file. PST files are more prone to logical corruption. There are various scenarios in which emails may get deleted or lost due to human errors.

Some Scenarios of loss of Outlook data are:

Accidental deletion of emails: Emails may get deleted accidentally using Windows Explorer or Shift+Del keys. When they are deleted using Windows Explorer, they are moved to “Deleted Items Folder” from where you can restore the emails back and when emails are deleted using Shift+Del keys, then they are not moved to Recycle Bin” resulting in loss of emails.

Abruptly terminating Outlook: Sometimes, you may abruptly terminate Outlook 2010. In such case, the PST file that is being accessed by Outlook may get corruptted. When this PST file gets corrupted, emails stored in PST file become inaccessible resulting in loss of emails.

Hence, backup is necessarry in order to avoid loss of important emails. Outlook 2010 does not have a special built-in backup capability to backup important data. Instead, you need to backup the PST file manually. You can backup PST file in two ways i.e. either you need to take straight forward file copy of the PST file from the file system or by using separate backup system like Windows Backup. Outlook 2010 supports PST file size limit of 50GB. Manually taking backup of lot of data may consume more time and while exporting PST file, some of the settings of Outlook may not be copied resulting in incomplete backup. Therefore, relevant backup tool is necessary to take quick and complete backup.

Remo Outlook Backup and Migrate software is used to backup and restore emails quickly. Along with emails, this software can also backup and restore all Outlook attributes like email folders, contacts, calendar items, tasks, notes, journal entries, rules, RSS feeds, settings, junk-email lists, email accounts and signatures. This software can also migrate Outlook data and settings from older version to a newer version of Outlook or from one Operating System to other Operating system like Windows XP to Windows 7. This software has a built-in scheduler, which helps to automatically backup Outlook data as per the scheduled time. This software supports Outlook 2000, Outlook 2002, Outlook 2003, Outlook 2007 and Outlook 2010.

Follow the below mentioned steps to start the backup task:

Step 1: Download and install Remo Outlook Backup and Migrate and then launch it either from the desktop or from the programs list. Select “Backup” option from the main screen as shown in Figure 1.

Figure 1: Main Screen

Step 2: If you want to create a new backup profile then select “Create New Backup Profile” radio button from the Manage Profile window or if you have already created a backup profile then you can use the same backup profile then click “Next” button. Select Outlook items whose backup need to be taken and then click “Next” button as shown in Figure 2.

Figure 2: Select Outlook items

Step 3: Select destination drive from the Backup Settings option to save your backup then click “Next” button. Now, a window appears to schedule backup.

Microsoft Outlook is one of the most famous e-mail clients’ in use today. It has sprung into popularity, after its induction into the market, at the start of this millennium. It continues to gain more popularity, with every new release, the latest being Microsoft Outlook 2007. The reason for Outlook’s popularity lies in the very fact that it provides such a diverse set of features, absent in other e-mail clients.

The features provided by Outlook range from basic ones like multiple profiles and multiple e-mail accounts, to advanced ones like Signatures, Templates, stationery, and many more. The more the features, the more the amount of data that has to be saved. Hence, Outlook requires more than just a single file to run the show. The pst file that you see in your PC forms a small part of the long list of files that Outlook uses to save data.

What does a pst file contain?

pst, or personal storage folder, carries details regarding all your e-mails contained in the various folders (i.e. inbox, outbox, deleted items, sent items etc.). It also contains data about your contacts and calendar. It does not however contain details regarding the various Signatures, Templates and stationery in use. Hence, merely saving a copy of the pst file, does not backup all your Outlook data. On restoring Outlook, you might get back your e-mails, but not your additional settings (i.e. Signatures, Templates, Stationery etc.).

What’s the solution?

To get a complete backup, all the folders and files linked to your Outlook need to be recovered. This is made possible by the use of REMO Outlook Backup & Migrate software. It lets you take a complete backup of all your outlook data, including your Signatures, Templates, Stationery, RSS Feeds, Outlook today settings, etc., and in addition to this, it also lets you migrate all the data with ease. Try it now!

REMO Outlook Backup & Migrate software has an internal scheduling option that lets you take backup on regular intervals, to ensure that you always have the latest backup available in the event of data loss. It lets you select the desired Outlook items, whose backup needs to be taken. The software lets you compress or even split your backup data, depending on the space constraint. The multiple profiles feature, lets you manage your backup in an organized manner.

You can use the steps given in the subsequent pages to take complete backup, of your Outlook data.
